Todoist is one of the best task management apps. Google Tasks is also a great application that integrates with other Google services. How do both differ? In this text, we are covering Todoist vs. Google Tasks.

Quick verdict

Todoist is a freemium app with a rich interface and essential task-management features, but you will miss a couple of paid features. Google Tasks is already limited, but you are not limited to using the service.

If you want to use a tasks app personally or occasionally, go with Google Tasks, while if you are serious about a project, go with Todoist.


You can use Todoist on web browsers and download it on Windows, macOS, Linux, Android, and iOS.

It is also available on smartwatches like Apple Watch and Wear OS.

Google Tasks, on the contrary, is available to download on Android and iOS devices.

Even on the desktop, it does not come as a separate app. It sits on the right side of Workspace apps websites, including Docs, Gmail, Calendar, Sheets, and Slides.


Both come with many of the same options. If you go with either, you can expect the following:

  • Creating projects to manage workflow
  • Adding tasks with subtasks (subtasks are checklists)
  • Adding tasks descriptions
  • Set task repetition for repeating tasks

Comments: You can comment on tasks and subtasks.

Attachments: You can’t attach files directly to a task, but the comments support attachments.

Priorities: You give tasks priorities. The task color is set according to its importance, where red is high and orange is medium.

Sections: To organize projects, we can add sections, and under sections, tasks can be added.

Kanban-style boards: Sections allow projects to display in Kanban-style board views (example video).

Goals and productivity: Todoist tracks your task movements and calculates your productivity level.

Filters: Filters help you view tasks with specific priorities and features. Those come with a filter query to see specific tasks.

Drag and drop delay: You can quickly move a task to tomorrow by dropping it to the bottom on desktop PCs.

Quick add: Todoist uses natural languages to detect words in task titles. You can set due dates, due times, priorities, assignments, etc., by adding text after the title.

Labels: Labels are like tags. You can assign labels to any project and see all tasks with the same label in one location.

Works with calendars: Unlike Google Tasks, which only works with Google Calendar, Todoist integrates with other calendar apps.

Email notifications: Along with mobile notifications, Todoist sends email notifications about tasks that are past their due dates.

Task history: You can view the task history. This might not be beneficial for individuals, but it is useful in teams.

Search: Todoist supports searching for tasks and labels.

Reminder: Google Tasks offers a reminder feature for free.

Works with Gmail, Calendar, and Sheets: Tasks can quickly be managed on Gmail, Calendar, and Google Sheets websites (example image).

Make email tasks: You can drag and drop emails to the Tasks sidebar to create tasks with email subjects.

Tasks from list to list: On the task interface, you can quickly move a task from one list to another.

Star tasks: You can mark the important tasks.

Collaborating on tasks

Todoist supports up to five collaborators per project. Team members can create tasks, assign members, and perform other activities. You will need one of the premium plans to add over five members.

Google Tasks does not support real-time collaboration, except in Google Workspace.

Google Tasks, in contrast, does not have any templates.


Todoist offers around 70 supported third-party integrations. Some of the integrated apps include:

  • Chrome

On the other hand, Google Tasks is integrated with Google Workspace apps.

Google Tasks is a free app. You only need a Google account to sync and access tasks on other platforms. Todoist, in comparison, comes with a couple of premium options.

The free account has basic options, and you are limited in many ways. Along with the missing reminder option, you are limited to the following:

  • Five people per project
  • 5 MB attachment limit
  • Three filters maximum
  • Seven days activity history
  • Five active projects

The first paid subscription, titled Pro, costs $5 monthly. You can save $1 monthly and pay $4 by subscribing to the annual plan.

With this plan, most limits are lifted, and the plan is enough for individuals and teams to work on multiple projects simultaneously. Overall, you have access to the following:

  • 300 projects limit
  • 100 MB upload limit
  • Up to 150 filters
  • 25 people per project
  • Reminder
  • Full activity history
  • Backups
  • Themes

The other paid plan is Business, which costs $8 per user monthly, but like the Pro plan, you can save $2 per month on each user on the yearly contract. The business plan is for teams working on massive projects.

Which one is for you

Google Tasks is for you if you like a free tasks app with core features. It reminds you for free. If you want more than just the core features (collaboration, files, comments, etc.), Todoist is a great option.
